How to Write an ATS-Friendly Resume (and When to Use a CV)

A strong application document is clear to people and readable by software. Many employers route uploads through an applicant tracking system (ATS) before a recruiter ever opens the file. That does not mean you need dense keyword stuffing or a flashy design — it means standard headings, selectable text, and content that matches the role.

Resume vs CV: pick the document employers expect
In most US and many tech hiring flows, a resume is a concise summary — usually one page, sometimes two for senior roles. It highlights recent impact, skills, and education relevant to the job.
A CV (curriculum vitae) is typically longer and more complete. Academic, research, and some international applications expect publications, teaching, conferences, and memberships. Use CV mode when the posting asks for a CV or when you need those extended sections. Layouts, themes, and what “ATS-friendly” usually means
Parsers prefer simple structure. Classic, Modern, and Compact keep a single reading column with common headings such as Summary, Experience, Education, and Skills — easier to map than text buried in graphics or tables used for page layout.
Banner still reads top-to-bottom in one column (with a colored header). Sidebar looks strong for visual PDFs, but many ATS parsers struggle with two-column designs — prefer Classic, Modern, or Compact for ATS uploads, and treat Sidebar as a presentation or portfolio-style export.
Themes (Ocean Blue, Executive Navy, Forest, Slate Minimal, Charcoal, Burgundy) set palette and typography. You can mix any theme with any layout and still override the accent color. Style choices do not replace clear wording or the right export path.
Prefer Print / Save as PDF when the destination is an ATS upload box — that path keeps selectable text. A visual “Download PDF” snapshot can look polished but may be harder for some systems to read. When a portal asks you to paste into form fields, copy the plain-text export instead.
- Use standard section headings.
- Keep contact details as plain text (email, phone, location, links).
- Write experience and education dates with clear month/year labels (for example Mar 2021 – Present).
- Write bullets as short lines starting with strong verbs and concrete outcomes.
- Avoid embedding critical information only inside images or icons.
- Turn photos off unless the role or region expects one.
- For ATS uploads, prefer Classic, Modern, or Compact over Sidebar.
Write content that earns the interview
Lead with a short summary that states who you are and the value you bring. In Experience, prefer measurable results over task lists: what changed, for whom, and by how much when you know the numbers.
Mirror language from the job description only when it is truthful. Keyword matching helps discovery; exaggeration hurts you later in interviews and references. Keep skills honest and scannable — a clean list beats a decorative skill bar chart.
Final checklist before you export
Read the live preview as a hiring manager would. On a phone, switch to the Preview tab so you are not stuck scrolling past the full form. Confirm spelling, dates, links, and that every bullet earns its space.
- Full name and a working email are present.
- Resume length is roughly one or two pages (or intentionally longer for a CV).
- Headings are standard and sections appear in a sensible order.
- You chose a single-column layout for ATS uploads (or knowingly used Banner/Sidebar for a visual PDF).
- You used Print / Save as PDF for ATS uploads, or plain text for paste-in forms.
- Optional photo is off unless required.
- You reviewed the ATS hints in the builder and fixed any warnings that apply.
